OCS is a global facilities management company, delivering sustainable solutions to complex facilities management issues. They have 91,000 staff worldwide across a variety of roles from operational staff, such as cleaners, security guards, receptionists, catering staff to management and corporate function positions.
Sue and her team of three resourcing managers are responsible for managing the recruitment of around 600 positions every month. Historically, recruitment activities within the business were managed locally, with managers often calling on the support of recruitment agencies to help fill their positions.
The business realised that with such a high volume of recruitment activity taking place across the business, centralising and automating recruitment activity would allow for better control, compliance and visibility of recruitment activity.
When Sue joined the business she looked at a number of recruitment management systems, and chose to use Konetic. With the system being web-based and also very user-friendly it worked for OCS. Many of the recruiting managers are field-based, so it was extremely important that they were able to access the system whilst out and about.
Managers can check the status of their vacancies, authorise new positions, arrange interviews and send communications all while accessing the system from their laptops or even their mobile phones
Having Konetic in place means that the business now has quick and easy access to recruitment information. Recruiters can see how many vacancies they have, how many roles have been filled, how long they have taken to fill, and other key metrics. And they can now use this data to make important business decisions for how they can make further cost savings, provide additional support to managers where needed and to identify any other process improvements that could be made.
Now that line managers have the support of an in-house resourcing team and access to Konetic, there is less of a need to use external recruitment agencies.
The business has saved over £1M on agency fees by giving managers access to a system that allows them to manage the recruitment in-house.
Many of the roles within OCS require specific security clearance or qualifications. The application process now includes bespoke application forms for each role meaning that candidates who do not meet the specific criteria for the role are filtered out at the earliest stage. This has saved the business an enormous amount of time, as all applicants who pass the application stage now meet the essential criteria for the role.
Another key benefit for OCS is improved staff retention and staff development through better internal visibility of vacancies, allowing for internal candidates to apply for positions through the system to develop their career.

Small changes that we have wanted to make to the system have been accommodated, so we now have a bespoke system that meets our needs.
